Matching Specialist

Circle is currently looking for a Matching Specialist to guide and support intended parents while they wait for a surrogate match. The Matching Specialist will also help to coordinate matches between intended parents and surrogates. This position is ideal for someone who is customer-service oriented and has high emotional intelligence, along with strong organizational skills. The Matching Specialist role is a full-time, remote position.

ESSENTIAL JOB FUNCTIONS

  • Provide a high level of customer service to our clients in communication, both verbal and written, as they wait for a surrogate match
  • Consistently keep up with monthly CRM database check-ins and utilizing the information obtained to support clients
  • Align and coordinate surrogate/intended parent matches
  • Educate and prepare intended parents about matching with a donor and surrogate
  • Gather Intent to Match forms, wills, insurance forms, matching profile, etc.
  • Answer intended parent questions and keep them up to date on matching wait times
  • Identify appropriate next steps of a journey according to intended parents’ specific situation and help them progress in their journey.
  • Complete all relevant CRM fields pertaining to matching
  • Identify potential barriers to matching and appropriately bring them to management
  • Communicate with the consultation and coordination teams to to properly transition cases

  • Prior experience as an intended parent, surrogate or egg donor or experience working in the surrogacy industry strongly preferred

Egg Donation Matching Coordinator

We are currently seeking candidates with experience personally or professionally in egg donation to be an Egg Donation Matching Coordinator. This is a full time, remote position.

RESPONSIBILITIES

  • Respond to leads (database, direct contact, cold calls and clinic referrals) to provide information on program and answer questions.
  • Create and maintain leads within the CRM
  • Provide follow up on leads in a regular cadence, updating lead information
  • Conduct pre-consultations as indicated by readiness of lead
  • Conduct consultations with serious leads
  • Provide post-consultation follow up
  • Communicate with clinics to vet donor candidates for IP leads
  • Assist IPs in signing on for EDO (Egg Donation Only) journey
  • Manage a caseload of IPs (including EDO IPs) on donor matching
    • Conduct introductory meetings with Intended Parents starting their donor search
    • Answer questions from Intended Parents during matching process
    • Request supplemental information as needed from Egg Donors (additional photos, clarification on family health information, etc.)
    • Conduct Egg Donor searches when appropriate with Circle’s Partner Agencies
    • Facilitate communication with Partner Agencies on behalf of Intended Parents
    • Facilitate matching process between Intended Parents and Egg Donors for assigned cases, including exchange of profiles & connecting for video chats
    • Work with Marketing Department on Egg Donation projects

  • Additional tasks/projects related to role as determined by Manager

QUALIFICATIONS

  • Minimum of one year of work experience in case management, customer service, or IVF/ Third Party Reproduction

Program Coordinator/Case Manager

ESSENTIAL JOB FUNCTIONS

  • Provides high level of customer service while serving as the primary point of contact for intended parents, surrogates, and egg donors throughout their surrogacy journey.
  • Collaborates and coordinates across Circle’s interdisciplinary teams and with our partners to facilitate the smoothest possible experience for our clients.
  • Advises intended parents in making decisions and navigating obstacles throughout the journey.
  • Provides support to intended parents and surrogates during low points in the journey such as failed transfers, relationship issues with surrogate, miscarriage, premature and/or complicated deliveries.
  • Enters important data related to journey in agency database.
  • Acts as a contributing team player to Program Coordinator team.

Social Worker

The Social Worker position combines clinical assessment skills and supportive counseling to surrogates in a fast-paced business environment. Social workers at Circle are involved in the gestational carrier process before a surrogate is matched with intended parents and post-match as the surrogate moves forward in her surrogacy journey. This provides our social workers with a unique opportunity to engage in both short-term work through the assessment phase and long-term work supporting carriers throughout their journeys that can last one to two years. The social worker role is critical to the company’s business operations and vital to Circle’s superior customer service and support to our clients. This role is a good fit for social workers who are looking for opportunities to extend beyond a traditional social work environment. In an effort to connect with our surrogate population this specific position will include a combination of some days during the regular work week and weekend days.

ESSENTIAL JOB FUNCTIONS*

  • Review surrogate profiles to prepare for screening
  • Coordinate and conduct video/phone psychosocial assessments with surrogate applicants
  • Produce ≈20 page assessments per applicant to be used in matching process with intended parents and documentation purposes for IVF process
  • Provide supportive counseling to assigned surrogates throughout their journey with the agency
  • Work with matching team to coordinate surrogate matching process with intended parents
  • Collaborate and coordinate across Circle’s interdisciplinary teams and with our partners to facilitate the smoothest possible experience for our clients
  • Document important data related to journey in agency database and provide weekly/monthly/annual reports as requested

Office Lead for Los Angeles office

Circle has been in business for more that 25 years, is the leading surrogacy agency in the world, and has been experiencing growth of over 15% annually for the past 5 years.

We are expanding to cities across the U.S. and Europe to better serve our clients and are hiring an Office Head for our office in Los Angeles, CA. This role is focused on helping lead growth activity within these regions. Your primary responsibility will be interfacing with and building a community within LA/SF and educating parents, surrogates, clinics, doctors, and nurses about the benefits of working with Circle Surrogacy to fulfill their dreams of building a family. Further you’ll have the opportunity to shape Circle’s presence in each of these cities as we grow, interfacing with any new hires and building a culture around the office.

ESSENTIAL JOB FUNCTIONS*

  • Interfacing with the intended parent community in and around the region, including both Circle’s current clients and new prospective clients
  • Building relationships with area IVF clinics and their teams through clinic visits and joint-events with clinic staff at Circle’s offices
  • Hosting prospective intended parents, surrogates, and donors at Circle offices for community specific “social events” in the evenings and periodic weekends
  • Working with LGBTQ+ community members, assisting in the education of specific LGBTQ+ family building resources
  • Answering key questions about surrogacy & family building within the LGBTQ+ community, and determining the appropriate course of action for intended parents.
  • Schedule and conduct pre-consultation calls to educate intended parents on surrogacy as well as qualify IP’s for consultations
  • Schedule consultations for outreach team monthly, set up calendar entries, collect form from intended parents and conduct confirmation follow ups
  • Willing to work some weekends and evenings – average total time commitment of two days per week
  • Bridging communication between offices, sharing community initiatives on a consistent basis with intake/outreach team, contributing to smooth interpersonal connections between departments

  • Personal experience in surrogacy and/or egg donation greatly preferred
  • Ability to build meaningful connections with a people from a broad range of backgrounds and identities
  • Bachelor’s Degree or equivalent work experience in a related field
  • Minimum 2-3 years of sales enablement and operations experience for new prospects and existing customers
  • Comfort speaking to small groups of potential clients, surrogates, or medical professionals
  • Candidate should possess strong communication skills, be detail orientated, organized, a quick learner and team player who is also able to work independently.
  • Ability to be empathetic towards others who are struggling with infertility
